Users

In this tab, you can add new users, manage already added ones, and check important information about them. 

How to register a new user 

  1. Open the User tab of the User management section.

  2. Click the plus icon in the left low corner.

  3. Enter a user name.

  4. Add a user photo if necessary.

  5. Select the profile from created to give the user the required permissions.

  6. Enter the user email to send the registration link.

  7. Enter user phone number if necessary. 

  8. If required, select a marker for the user.  

  9. If necessary, enter the user address.

  10. Add a user (with the help of the search button) to a corresponding group or create a new one for this user (with the help of the plus icon).

  11. Select (with the help of the search button) from already added or create access restrictions. After clicking the plus icon you will be redirected to the corresponding tab where it is possible to create restrictions.

  12. Select (with the help of the search button) the identifier/s available for the user. 

  13. Set available for user licenses that they purchased (this section is available if you have the can edit user licenses permission assigned to your profile).

In case root groups have limits for SIP numbers and mobile applications, you must consider these limits when assigning licenses to a user. The number of licenses provided to a user cannot exceed the limits set for his root group.

  1. Click the Save button in the left low corner when all necessary data is entered.

  2. Be sure that the Send registration invitation option is enabled.

  1. Open the created user profile again.

  2. Click the Save button in the left low corner when all necessary data is entered.

After receiving the invitati, theon user must activate the profile. Detailed steps are further.

Also, when you open user entry after creating, you can check not only the information that you entered, and Elevator access rules, Virtual numbers, Mobile app clients available for the user, and also users (family members) invited by this user (can be done via the mobile app).   

Applying licenses to users

You can manage user licenses only if the Can edit user licenses permission assigned to your profile. By default, 1 license for an apartment includes 1 mobile app, i.e., only 1 user can use the Link app if 1 mobile app license is applied. So, if there is more than 1 resident in the apartment, you as the administrator must do the following configurations so all users can use the Link app:

  1. Add a user to the Link server as described in the previous section.

  2. Be sure that you are adding the user to the correct group.

  3. Enable and set the number of licenses for mobile applications according to the number of apartment residents.

  1. Usually, users invite other apartment residents via the mobile app. Wait for the user to add their family members which is displayed in the corresponding section of the user entity.

A user added by an administrator is considered as the main. Family members added by the main user are considered sub-users. Family members are automatically added to the main user group. Also, they get the same rights as the one who invited them but cannot invite/remove other users, configure a forwarding queue for an apartment, or subscribe to family members actions. Only the main user has rights to all these features.

  1. Create identifier(s) for added family member(s) as described here.

  2. If required, create or apply access restrictions to added family member(s). However, we recommend applying access restrictions to an apartment group instead of each user.

As a result, all users have licenses for mobile apps and all other required data.  

The other possible way of applying licenses is adding users without the mobile app. So, you as the administrator:  

  1. Add all apartment residents to the Link server as described in the previous section.

  2. Be sure that you are adding users to the correct group.

  3. Enable and set 1 mobile application license for each user.

  4. Create identifier(s) for all apartment residents as described here if you skipped it in the 1st step.

  5. If required, or if you skipped it in the 1st step, create or apply access restrictions to all apartment residents. However, we recommend applying access restrictions to an apartment group instead of each user.

As a result, all users have licenses for mobile apps and all the necessary data. However, links main and sub-user are lost, and all users added by the administrator are now considered as main. Consequently, they all can invite/remove other users and configure a forwarding queue for an apartment. This may lead to misunderstandings and some feature malfunctions. Additionally, subscription to family members actions will not work as no one is considered a family member.  

How to activate a user profile 

  1. Open your email and find the invitation letter from the Link server.

  2. Follow the link indicated in the letter.

  3. Create a password for your account.

  4. Accept Terms & Conditions.

  5. Click register to activate your account and enter the server.

  6. If you are going to register via the Mobile app, complete these steps. 

To enter your account next time, you are required to enter your email and password. 

Users filtering 

With the help ofandbuttons, you can edit or delete restrictions. Also, there is a filter by name, profile, groups, phone, e-mail, and marker. So, you can configure a flexible data display and quick search. To do this, you need to click the Add filter button and set the necessary parameters. For some searches, results can equal your search (so to be exactly as you indicate), or contain (has) it. You can select a few parameters and choose whether the results will match all filters or any of them.

In addition, you can save your search parameters for further use by clicking the corresponding button. All saved parameters are displayed after clicking the Segments button.
