How to manage amenities and reservations?

🪪 Who can create amenities?

Only administrators with appropriate permissions in the web interface. Navigate to Amenities reservation → Amenities tab to add, edit, or remove shared spaces:

Each amenity includes the following fields:

  • Name, Description, Address — shown in the mobile app when users make a booking;

  • Minimum / Maximum number of persons — defines booking limits per reservation;

  • Groups — only users from these groups will see the amenity in the mobile app;

  • Access restrictions — optional: select devices that control physical access to the amenity;

  • Time slots — define when the amenity is available for reservation;

  • Files — you can upload an image and a terms of use PDF document.

To control who can see and reserve the amenity, use the Groups setting. Users must belong to at least one selected group to view and book the space in the mobile app.

 

📅 How do I allow bookings only on certain days?

When creating or editing an amenity, set specific available time slots under the Time slots section. You can assign different days and times — just ensure no overlap, or the system will show an error.

 

🎫 What happens when a user creates a reservation?

They receive a virtual pass with access settings. The pass can be found in Access management → Identifiers tab and shared via QR code or other methods depending on the identifier type.

 

🎛️ How do I track or update an existing booking?

Go to Amenities reservation → Reservations tab. Use filters to find bookings by user, amenity, or time. Edit or cancel reservations directly from this section.
