In the BAS-IP Link system, the license management feature allows Company administrators to flexibly allocate and control license access across various levels. Server administrators can configure Site administrator and end-user access to SIP numbers, mobile applications, and other resources based on the total available licenses. This hierarchical approach to license distribution ensures transparent control and prevents exceeding limits at any level. This section describes how Company administrators, Site administrators, and users can manage licenses within the system.

Configuring Licenses for a Site Administrator as a Server Administrator

As a distributor, you can create a root group and assign a responsible dealer who will manage the subgroups created and distribute licenses among end-users. The root group serves as the parent hierarchy, determining license and resource access for all subordinate groups. For more details on group creation, refer here

To access the settings, follow these instructions:

  1. Go to the Group Object tab under User Management.

  2. Click on the three dots next to the object name and select the Edit option.

  1. In the newly opened window, locate the Licenses section.

  2. In the Licenses section, enable the Enable restriction check-box to activate restrictions.

If the setting is disabled, the group has access to an unlimited number of project licenses

  1. If necessary, check the Reminder of the end of the license period checkbox and set the date when users will receive a notification about the license expiration

You can configure a reminder to be sent before the end of the license validity period, specifying the number of days in advance and the notification frequency: once, daily, weekly, or every 30 days. The reminder will be sent to the email address listed in the group administrator's profile. For details on configuring the reminder template, refer to Mail Templates.

  1. After enabling Enable restriction, click the green Add new license button to access advanced license settings.

  1. After adding the license, a panel with a summary of available permissions will appear. Here, you can view key information, such as the license status and available features (e.g., virtual numbers, mobile applications, UKEY2). Click on this panel to proceed with further configuration steps.

  1. In the newly opened window, set the necessary permissions for the root group by specifying the number of licenses for SIP numbers and mobile devices. You can also enable additional features by selecting the corresponding checkboxes.

The number of SIP licenses must be at least equal to the number of mobile application licenses, as each application requires a unique SIP number for activation. For example, if there are 10 mobile applications, at least 10 SIP numbers should be allocated. In self-hosted systems, SIP numbers can also be used for internal communication, such as numbers for concierge services or SIP dialers. If the distributor offers these options, additional SIP numbers should be specified.

The number of licenses you assign cannot exceed your available total limit and applies to all subordinate groups. None of the lower-level groups will be able to exceed the limit you set.

  1. Once you have set all the necessary permissions, check the License validity period checkbox to specify the license duration:

    • Valid from — the start date of the license.

    • Valid until — the end date of the license.

Ensure that the license periods for lower-level groups do not exceed the duration set for higher-level groups; otherwise, the feature will not function correctly.

  1. After completing all the settings, click the Save icon in the lower right corner to apply the changes.

License state

At the bottom of the Licenses section, information about the status of available licenses is displayed. Here, you can view data on the current limit of SIP numbers and mobile devices, the number of licenses already used, and the remaining quantity. The section also shows license expiration dates and information on other activated restrictions.

For troubleshooting, if a feature (any specific license) is disabled, this section can help identify the reason. It will indicate the group where the restriction is active, blocking the feature for lower-level groups.

This section displays information about current licenses, their status, and usage.

  1. Virtual Numbers: This subsection shows details related to virtual numbers.

    • Status: Indicates whether the virtual numbers feature is enabled and if there is a time limit. In this case, the feature is enabled with no time limit.

    • Maximum Number: Shows the maximum number of virtual numbers available for the group (in this example, the limit is set to 50 for the SmartHome group). This limit defines how many virtual numbers can be assigned to users within this group.

    • Quantity Used: Displays the current number of virtual numbers that have been used (in this example — 1).

    • Maximum Number Available: Shows the number of virtual numbers still available for use, considering those already in use. In this example, 49 numbers are available (out of 50, with 1 already in use) in the SmartHome group.

  2. SIP Trunks and Web Dialer: Similar to virtual numbers, these features display their activation status and whether there is a time limit. In this example, both features are enabled with no time limit.

  3. Mobile Application: Here, the status also indicates whether the feature is enabled and if there is a time limit.

Configuring Licenses for Subgroups as a Site Administrator

As a dealer, you have the ability to manage license settings granted by the parent group for the subgroups and projects you create. This can be useful, for example, if you want to allocate licenses to a partner’s project or a specific building. The procedure for setting these restrictions is similar to delegating permissions from a higher-level group.

  1. Go to the Group Object tab in the User Management section.

  2. Here, you will see the objects and their subgroups to which you have access, granted by the higher-level group. In this section, you can create, edit, and add subgroups.

  3. Click on the three dots icon next to the desired object and select Edit.

  1. Virtual Numbers: Displays details related to virtual numbers available for this group.

    • Status: Shows whether the virtual numbers feature is active and the expiration date. Here, it is enabled until December 1, 2024, at 00:00.

    • Maximum Number: Indicates the maximum number of virtual numbers allowed for the group (set to 50 for the SmartHome group).

    • Quantity Used: Shows the current number of virtual numbers in use, which is 1 in this case.

    • Maximum Number Available: Reflects the remaining virtual numbers available for allocation. In this example, 49 virtual numbers are still available out of the maximum of 50, with 1 already in use by the SmartHome group.

  2. SIP Trunks and Web Dialer: These features are also shown with their activation status and expiration date. Both are enabled until December 1, 2024, at 00:00.

  3. Mobile Application: Similar to other features, it shows the activation status and expiration date for the mobile application, which is also enabled until December 1, 2024, at 00:00.

Adding a License for a User's Apartment

This section describes the process of adding a license to a specific user's apartment. Setting licenses at the apartment level allows for more flexible management of access to resources and features provided to end-users.

For example, if an apartment has 2 licenses and the building has 20, the apartment can only use its allocated 2 licenses. Conversely, if the apartment has 20 licenses and the building has 2, the apartment is still limited to its 2 licenses. If the limit is exceeded, licenses will stop working for everyone in the group. To resolve this, either purchase additional licenses or remove extra applications/numbers.

  1. Go to the Group Object tab in the User Management section

  2. Select the required apartment, click on the three dots next to the item, and choose Edit.

The number of SIP licenses must be at least equal to the number of mobile application licenses, as each application requires a unique SIP number for activation. For example, if there are 5 mobile applications, at least 5 SIP numbers should be allocated. In self-hosted systems, SIP numbers can also be used for internal communication, such as numbers for concierge services or SIP dialers.

Only the permissions and features available to your group and within the allowed limits can be assigned to the apartment. If any restriction is exceeded or the settings contradict the licensing policy, the system will issue a notification, and saving the settings will not be possible. If the required permissions are unavailable, please contact your administrator for clarification.

    • Maximum Number Available: Displays the remaining number of virtual numbers available, considering the group's limit and current usage. Here, 49 virtual numbers are available out of a maximum of 50, with 1 being used by the SmartHome group.

  2. SIP Trunks and Web Dialer: These features show their activation status and expiration date. Both are enabled until December 1, 2024, at 00:00.

  3. Mobile Application: Shows the status and expiration date for the mobile application feature, which is also enabled until December 1, 2024, at 00:00.

If a user has both personal and group licenses, the strictest limit applies. For instance, if the user’s personal license allows two SIP numbers, but the group limit is set to one, the user will only have access to one SIP number. This prioritizatio ensures that individual settings do not exceed the constraints defined at higher levels.

Adding a User to an Object

Once you have completed all necessary procedures for configuring licenses, you can apply them to the users who will utilize them. When adding a new user, you can set the required permissions and restrictions for using your licenses.

To assign licenses to a user, follow these steps:

  1. Go to the object where you need to create a new user.

  2. Select New User.

  2. In the license settings section, specify which licenses and features will be available to this user, adhering to the restrictions set at the group level.

  3. Set specific parameters, such as the number of available licenses and the license duration, if temporary access restrictions are required for the user.

Using Licenses as a User

End-users have access to the resources and features provided by their group within the license limits assigned at higher levels of the hierarchy, as well as any specific limits applied to their individual apartments. In some cases, a dealer may issue a separate license specifically for the apartment. Depending on the settings made by the dealer or distributor, the user may have access to the following features:

Interaction with Licensed Resources:

  • SIP Calls: Users can make SIP calls if the group’s license limit has not been reached. Access to SIP calls is automatically revoked if the license period expires or the group limit is reached.

  • Mobile Applications: If active licenses are available, the user can interact with mobile applications assigned to the group.

  • Remote Door Opening: When this option is enabled, users can unlock doors remotely through the mobile app.

  • Integration with Siri and Apple Watch: Users can control specific functionalities through Siri or directly from their Apple Watch if these integrations are activated.

  • Guest Access: If this option is enabled, users can manage guest access permissions.

  • Elevator Access: If permissions are granted, administrators can configure elevator access through the app, while end users can only call the elevator.

  • Amenities Reservation: Administrators have the ability to configure communal amenities reservations, while end users can only book them.

Time-Based Restrictions:

If time restrictions are set for the group’s licenses, the user’s actions are automatically restricted when the license period ends.

if the group’s license expires, the user will no longer be able to make SIP calls or use mobile app access features. Once the license is renewed, access to features is automatically restored, and the user will receive a notification in the app.

Receiving License Expiration Notifications:

Depending on the dealer’s settings, notifications about the upcoming license expiration will be sent to the user with Site Administrator permissions. These reminders serve to inform users and other partners, such as affiliated projects, that it is time to renew the license package, helping to prevent any potential access restrictions.

Functionality Availability When Belonging to Multiple Groups:

If a user belongs to multiple groups with different licenses, their access will be restricted by the strictest limit.

If at least one group reaches its license limit, access to features will be restricted, even if other groups have available licenses.
