Mail Templates
Customize the emails your users receive — from registration invites and password recovery to license expiry alerts. Tailor the tone, content, and formatting to match your branding or project needs.
You can also add helpful context — such as the name of a residential area, address, or custom instructions.
How to create a mail template
Go to the Settings → General → Mail Templates tab.
Click ➕ icon in the lower-right corner.
Select the Mail type you want to edit. Each type corresponds to a specific system email sent to users, and defines how the corresponding email will look for users:
• Password recovery — sent when a user resets their password; includes a reset link or code;
• User registration invite — sent when inviting a new user; contains a registration link, QR code, or invitation code;
• User password changed — confirms that the password has been successfully updated;
• Group license period ending — notifies administrators that licenses will expire soon;
• Group licenses expired — informs that licenses have already expired;
• Confirm self registration — sent during self-registration to confirm the user’s email or identity.Edit the mail subject and body. You can use HTML to format the content, for example to add line breaks, links, or simple styling.
The configured template will be used for all emails of the selected type. For example, users will see your customized subject and message when resetting a password or receiving an invitation.
The system marks mandatory fields — they turn red if not included.
You do not need advanced HTML knowledge — you can use simple text and combine predefined markers to build your email content, similar to using building blocks.
Required fields vary depending on the mail type. These may include markers like :email, :link, :token, :reset_token, :code_life_time, :group_list and others.
These markers are replaced automatically with actual values when the email is sent.
📆 The :code_life_time field shows the validity period of the code or invitation. The value is set by the system and typically equals 7 days.
Click Preview mail to see how the email will look for the user
Click Confirm when all required fields are filled.
When you create a custom template, it replaces the default email for that mail type.
If you want to use the default email again, simply delete your custom template from the list.
