Reservations

The Reservations section allows users to view and manage both upcoming and past bookings for amenities, as well as create new ones by selecting an amenity, date, and time. Once confirmed, users receive a pass that can be shared with others.

Adding a reservation

  1. Go to the Reservations tab under the Amenities reservation section.

  2. Click the plus icon in the lower-right corner to add a new reservation.

  1. In the window that opens, specify the Date for the reservation.

  2. In the Amenity section, pick the desired amenity from the available list.

  3. In the User section, specify the person making the reservation.

  4. Enter the Number of persons who will be attending.

  5. After entering all the required information, in the Time slots section, select the available time slots for your reservation. The time slots will be displayed according to the amenity settings.

If you select consecutive slots for reservation, they will be combined into a single slot., for example: selecting the time slots for 09:00-10:00 and 10:00-11:00 will appear as one slot for 09:00-11:00

Amenity reservations

After you add a reservation, the Amenity Reservations page will open, allowing you to manage and view all current reservations for the selected amenity. The page provides detailed information about each reservation in a tabular format, making it easier to track and manage them. The main elements of the page are:

  1. Filters:

    • You can filter the reservation list by using the Add Filter button. This allows you to narrow down reservations based on specific criteria such as time, date, user, or status..

    • The current selected amenity is displayed at the top, marked by a colored label (e.g., AMENITY IS GYM). You can clear this selection using the image-20241021-140236.png next to the label.

  2. Table Columns:

    • Amenity: Shows the name of the booked amenity.

    • User: Displays the email or username of the person who made the reservation

    • Reservation: Specifies the date and time of the reservation.

    • Number of persons: Indicates the number of people attending the reservation.

    • Status: Displays the current status of the reservation (e.g., "Reserved")

    • Created at: Shows the date and time when the reservation was created

  3. Rows per page:

    • At the bottom of the table, you can adjust how many reservation entries you want to see per page using the Rows per page dropdown.

  4. Action Icons: On the right side of each reservation entry, there are two icons:

    • Key icon image-20241021-140635.png opens the Edit identifier page, where you can modify the identifier settings for the reservation. This includes adjusting the QR code, validity period, access restrictions, and other details related to access control for the selected amenity.

    • Pencil iconimage-20241021-140547.png opens the Edit amenity reservation page, where you can modify the reservation details. This includes changing the date, number of persons, and time slot of the reservation. You can also cancel the reservation from this page.

  5. Save Options:

    • You can save filtered views or the current state of the reservation table by clicking the Save As button. This helps create customized views for easier access in the future.

  6. Pagination:

    • At the bottom right, you can navigate between pages of reservations using the pagination controls (e.g., arrows to move between pages).

Amenity reservation identifier

When you successfully create the reservation, it will appear on the list in the Reservations tab. You can then view the identifier that was created for this reservation, make changes to it and download the QR-code that you can share with people who will attend the reservation.

Click Go to identifier on the reservation to access the identifier information. The identifier will also appear in your identifiers list in the Access management tab and can be accessed from there.

  1. In the General Information section:

    • Review or update the Name of the reservation.

    • Select the User responsible for the reservation.

    • In the Identifier type field, choose the appropriate identifier type from the available options: Card, UKEY, Access code, Face ID, QR-code, or License plate.

    • If necessary, refresh the Identifier by clicking the refresh icon.

  2. In the Restriction period section:

    • Set the Valid from and Valid until dates and times to define the active period for the reservation.

  3. Enable the Download QR-code option if you want to download the QR-code for sharing.

  4. (Optional) Check the Passes restrict option to limit the number of times the identifier can be used.

  5. In the Access restrictions section:

    • Add or modify access rules that apply to the identifier. These rules define which users or devices can access the reserved amenity.

  6. In the Synchronization section:

    • Check the synchronization status of the identifier with the devices it is shared with to ensure access permissions are up to date.

When you save the identifier, the pop-up window with the QR-code will appear. You can download it to share with the attendees:
