Example configuration for a basic Link Cloud project
Let’s walk through a step-by-step example of how to configure a BAS-IP Link Cloud system for a 1-house project. This guide focuses only on the actions relevant for cloud-based installations.
- 1 ❶ Ensure a valid license is issued
- 2 ❷ Set up user profiles and permissions
- 3 ❸ Create a group structure for the building
- 4 ❹ Add users and assign them to groups
- 5 ❺ Apply mobile app licenses
- 6 ❻ Add and assign devices
- 7 ❼ Configure access restrictions
- 8 ❽ Create identifiers
- 9 ✽ Set up elevator access only if needed
- 10 ❾ Guest access
- 11 ❿ Link app usage
❶ Ensure a valid license is issued
Contact your dealer or cloud administrator to issue a license for your project.
Once activated, licenses are visible in your Cloud dashboard.
❷ Set up user profiles and permissions
Define roles that will later be used to manage permissions across different types of users — administrators, residents, concierges, or service staff:
Go to the Profiles tab in the User management section.
Use default roles Administrator, Concierge, User, or create custom ones.
Assign permissions based on the role responsibilities.
❸ Create a group structure for the building
Navigate to the Object groups tab in the User management section. For example, a typical group structure might look like this: 1 house with 2 units, 20 floors, and 4 apartments on each floor:
Create a root group for the house or complex.
Add subgroups for the following group types: Units, Floors, and Apartments.
You can either create groups manually or upload the structure for bulk generation.
Detailed steps are shown in this video:
❹ Add users and assign them to groups
Go to the Users tab in the User management section:
Add each resident, concierge, or admin.
Add user photo and contact info if needed.
❺ Apply mobile app licenses
Assign mobile app licenses to enable users to access Link Cloud features from their smartphones:
Navigate to the Users tab in the User management section and open the desired user profile.
In the Licenses section, allocate the number of mobile app licenses.
Usually 1 license = 1 app install.
Users can invite family via the app; sub-users inherit permissions.
❻ Add and assign devices
Add all required entrance panels, monitors, and controllers to the system to associate physical hardware with your project:
Go to the Devices tab in the Device Management section.
Assign entrance panels, monitors, and controllers to their physical location within the object group structure.
Ensure MQTT protocol is used for communication.
No need to configure SIP or virtual numbers manually — Link Cloud handles routing automatically.
❼ Configure access restrictions
Define who can open which doors and when, using access rules that correspond to group levels in the building. For example, you might want to give users access only to the main entrance of a 1-house project, Unit 1 entrance, and Floor 3:
Go to the Access restrictions tab in the Access management section.
Set rules based on the access level each person needs. For example, residents might need access only to the main entrance, Unit 1, and Floor 3.
Apply restrictions to:
Groups — recommended for most cases;
Individual users — useful for roles like cleaners or security staff;
Optionally add schedules for timed access.
❽ Create identifiers
Assign identifiers to residents so they can unlock doors or use specific features with cards, QR codes, mobile phones, or other credentials.
Go to the Identifiers tab in the Access management section.
Add one or more ID types per user: cards, access codes, QR codes, UKEY, license plates, face ID.
Link each identifier to the relevant access restriction.
✽ Set up elevator access only if needed
This step is required only if your project includes elevator control via the EVRC-IP controller:
After adding the EVRC-IP controller to the Devices tab:
Go to the Elevators tab in the Elevator Management section.
Configure relays, access modese.
Assign users to specific floors.
❾ Guest access
Provide temporary access to visitors such as guests, couriers, taxi drivers, or service personnel. These passes can be created by residents via the app or by concierges via the Link Cloud interface.
Only users who have at least 1 access restriction and 1 device linked to it can issue guest passes.
Users and concierges can issue temporary passes:
QR code — for panels with cameras;
Access code — for panels with keypad;
Link/URL — for all devices;
License plate — for panels and installed Axis camera with Axis License Plate Verifier software.
Each pass can have limited time/date, limited number of entries, and a custom message.
❿ Link app usage
Link mobile app is an optional addition that enhances the experience for residents. Once set up, they can use the app to stay connected and manage access whether they're at home or away:
View live video streams from entrance panels;
Call panels and receive incoming calls;
Open locks remotely via the app;
Manage guest access with temporary passes;
Invite up to 5 family members and share app access;
Use the app with Apple watch.
Your Link Cloud project is now ready for usage: residents can access the system via the Link Cloud mobile app, while administrators can continue managing devices, access rules, and user permissions through the web dashboard.
