Users

 

Add new users, manage existing ones, and view key information for each account.

How to register a new user

  1. Open the Users tab in the User Management section.

  2. Click the ➕ icon in the lower-right corner.

  3. Enter a user name.

  4. Add a user photo if necessary.

  5. Select a profile to assign permissions.

  6. Enter the user email to send the registration link.

  7. Optionally, enter a phone number, country (select from dropdown), marker, or address.

  8. Add the user to a corresponding group using the 🔍 icon or create a new group with the ➕ icon.

  9. Optionally, select existing access restrictions or create new ones. You will be redirected to the restrictions tab.

  10. If required, select one or more identifiers using the 🔍 icon.

  11. Set the licenses available to the user to enable access to mobile apps, virtual numbers, and UKEYs.

If root groups have limits for SIP numbers or mobile applications, make sure the assigned licenses do not exceed the limits.

  1. Ensure the Send registration invitation option is enabled.

  2. Click the 💾 Save icon in the lower-right corner.

Once the user is created, you can open their profile to check assigned access rules, licenses, identifiers, and invited family members.

 

 

Registration via invitation

Administrators, such as distributors and dealers, can invite users by creating accounts and assigning roles.

 

Role-specific examples

You can follow the same registration steps for any user type:

  • Dealers — assign the Group administrator profile;

  • Private clients — assign a custom profile based on available permissions;

  • Tenants (residents) — assign the User profile.

  1. The user receives an email with an invitation link.

  2. They install and open the Link app.

  3. Tap I have an invitation and choose the server region.

You can find this information in your welcome email. The email includes the name of the server that you need to select in the app.

It’s important to remember this region, as it will be required when logging in.

  1. Enter the code or scan the QR code.

  2. Set a password and tap Next.

  1. The user is redirected to the app’s main menu.

 

User profile overview

The user profile displays key sections that summarize user data, access rights, and linked features such as licenses, identifiers, and mobile app activity:

  • Profile — user name, email, country, phone, markers, address, and assigned profile;

  • Groups — the group or location assigned to the user, which defines access rights, available elevators, and intercom routing;

  • Access restrictions — access rules applied directly to the user;

  • Identifiers — linked access credentials like cards, UKEYs, QR, license plates;

  • Virtual numbers — intercom numbers for mobile and device communication;

  • Licenses — enabled features such as mobile application, guest access, etc;

  • License state — current usage and group-wide limits;

  • Elevator access rules — additional elevator access beyond group defaults;

  • Linked users — family members added via the app;

  • Mobile app clients — active mobile sessions for the user and sub-users.

Configuring user license settings

To configure user licenses and allow access to the Link app across multiple devices or family members, adjust the settings as described below.

  1. Go to the Users tab in the User Management section and click ✏️ next to the resident.

  2. Enable the license by toggling the Mobile application switch to Enabled.

  3. Set allowed devices by entering the number of mobile devices in the Number of licenses field.

  1. Verify limits to ensure the value doesn’t exceed the available licenses for the user group or parent groups.

  2. Check usage in the License state panel to see the current allocation.

 

License state panel

Use this panel to check how many licenses are already used and how many are still available.
You can see the breakdown by type (mobile apps, virtual numbers, SIP trunks, etc.) and track usage across the user group and its parent groups.

This helps avoid exceeding license limits and makes it easier to reallocate licenses if needed.

 

 

Feature-based access

Use these toggles to enable extra system features for the user. Make sure not to exceed the license limits set for the user group:

  • Virtual numbers — allow intercom calls via the mobile app, web dialer, or third-party SIP devices. Set the quantity in the Number of licenses field;

  • SIP trunks — for external SIP calling via third-party providers;

  • Web dialer — for internal intercom calls or concierge access through a browser. Can be used instead of a physical concierge monitor;

  • Mobile application — grants access to the Link mobile app:

    • Enable the Mobile application switch in the user profile;

    • Set the allowed number of devices in the Number of licenses field;

    • The main user can invite family members as sub-users — they inherit access rights but cannot invite others or manage licenses;

    • View active sessions in the Mobile app clients section of the user profile;

  • Group forward rules, UKEY, Remote door opening, Family events, etc. — enable only if needed;

  • Elevator access rules — grants elevator access beyond default group permissions.

License editing permissions

To manage licenses, the user profile must include the Can edit user licenses permission.

This permission is granted by default to the Server administrator role. In custom setups, it may also be assigned to other roles such as Company administrator or Group administrator, depending on the project structure.

After assigning roles, configuring access, and issuing licenses, user registration is complete.

You can return to the User management section at any time to edit user details or update access.

 

Users filtering

Use the filter and sort functions to quickly search and manage users:

  • Filter by name, profile, group, phone, email, or marker;

  • Choose whether results must match all or any of the selected filters;

  • Use equals or contains search conditions;

  • Save frequently used filters for quick access using Segments;

  • Edit

    or delete
    user restrictions directly from the table view.

Efficient filtering simplifies user management, especially in large projects.
