How to manage amenities and reservations?

πŸͺͺ Who can create amenities?

Only Server and Group Administrators. Open Amenities reservation β†’ Amenities tab to configure shared spaces, add images, and upload terms of use:

Each amenity includes the following fields:

  • Name, Description, Address β€” shown in the mobile app when users make a booking;

  • Minimum / Maximum number of persons β€” defines booking limits per reservation;

  • Groups β€” only users from these groups will see the amenity in the mobile app;

  • Access restrictions β€” optional: select devices that control physical access to the amenity;

  • Time slots β€” define when the amenity is available for reservation;

  • Files β€” you can upload an image and a terms of use PDF document.

To control who can see and reserve the amenity, use the Groups setting. Users must belong to at least one selected group to view and book the space in the mobile app.

Define precise Time slots when adding an amenity. You can specify multiple slots across selected days, but avoid overlaps to prevent errors.

🎫 What happens when a user creates a reservation?

A corresponding identifier is generated with access parameters and a QR code. The identifier is shown in Access management β†’ Identifiers tab and linked to the user.

Open Amenities reservation β†’ Reservations tab. Use the filter panel to narrow results by amenity, status, or user. Use the ✏️ icon to modify, or the key icon to manage the linked identifier.
